Archive Assistant

Organization & Program Overview
The New York-New Jersey Trail Conference is a volunteer-powered nonprofit dedicated to caring for public lands and trails and helping people responsibly enjoy the outdoors. The Archives of this 106 year old institution needs organizing to provide information about past and ongoing programs as well as retention of material required by law. This information would be available to staff, volunteers, and the public on a case by case basis.
Duties and Responsibilities:
- Improve retention of program, mission related, and legally required information through organizing, digitizing, and filing material.
- Meet with program leads or committees to define what program related materials need to be saved and where and how it will be saved.
- Record metadata to improve searching.
- Develop and present training for staff and volunteers to implement and maintain a retention process.
- Help answer requests for information.
- Serve as the staff liaison to the Archives Committee.
- Work on other tasks with the Archivist and Archive volunteers.
Desired Qualifications
- Bachelor’s degree
- Strong interest in pursuing a career in archives, library science, or museum management
- Strong verbal and written communication skills
- Flexible and adaptable — able to work a variable schedule including evening meetings and event settings
- Some experience with Metadata preferred
- Valid driver’s license and reliable access to a personal vehicle for work travel (expenses reimbursed at IRS mileage rate)
Supervision and Work Environment
Based in Mahwah, New Jersey, the Archive Assistant reports directly to the Cartographer and regularly coordinates with the Archivist who is the Archive Committee Chair.
Work is based at the Trail Conference headquarters, but hybrid arrangements may be available on a case by case basis, consistent with the organization’s Hybrid Work Policy and at the discretion of management.
Compensation & Benefits
The salary is $22.50 per hour. Benefits include matching 403(b), complimentary membership, 9 paid vacation days, 4.5 paid sick days, and 6 paid holidays for this temporary 6 month position.
