Member Services Associate

POSITION SUMMARY

The New York-New Jersey Trail Conference seeks a full-time (40 hours per week) Member Services Associate to provide data entry support in Salesforce, support our front desk operations, and retail operations. The Trail Conference’s 30,000+ person community, including members, volunteers, customers, donors and more, is essential to the organization’s success and this position is vital in supporting it.

The Member Services Associate’s responsibilities include data entry and membership fulfillment tasks, assisting senior management with organizational administration, fulfilling our retail transactions, answering and directing telephone calls, and supporting the daily operations of the Trail Conference’s headquarters.

KEY RESPONSIBILITIES

Membership and Donor Services Administration, ~30%

• Receive, process, and record checks and electronic fund transactions in Salesforce.
• Assist with administering our membership program, including sending renewal emails, physical mailings, and data entry in Salesforce.
• Assist office volunteers with data entry and other administrative tasks.
• Support monthly reconciliation efforts with Finance Team for financial reporting.
• Support the Advancement department as needed.

Executive Team Support, ~25%

• Provide administrative and scheduling support for Executive Director and senior staff.
• Assist with the administrative organization of the Board of Directors and Board Committees.
• Prepare the board annual calendar and corresponding meeting invites.
• Draft agendas, take minutes, and track attendance for board and committee meetings.
• Assist with the preparation and distribution of board and committee meeting packets to the Board of Directors.
• Prepare all correspondence and event details for the two Delegate’s meetings, attend meetings, take minutes, and disseminate relevant information.

Customer Service, ~20%

• Provide a welcoming atmosphere for visitors to the Mahwah headquarters.
• Answer phone calls and forward messages to appropriate personnel.
• Manage incoming and outgoing mail and packages.

Retail and Wholesale Sales (Fulfillment), ~15%

• Process, including shipment, retail and wholesale orders. Restock merchandise and maintain an organized store appearance.

Building Operations & Upkeep, ~10%

• Greet vendors for on-site visits related to the building.
• Monitor and upkeep inside building conditions to maintain a welcoming and clean environment in conjunction with the Finance and Operations team.

Desired Qualifications

• Front desk/Customer service experience.
• Prior experience working with Salesforce and CRMs and data systems.
• Strong computer skills are mandatory.
• Flexibility and the ability to prioritize new tasks as they come in.
• Excellent written and verbal communication skills.
• Ability to effectively interact with people from diverse cultural, socioeconomic, and ethnic backgrounds.
• Ability to listen, give, and take feedback and learn.
• Valid driver’s license and reliable transportation.

Work Environment

While the Trail Conference encourages and supports remote and hybrid work arrangements to allow staff members to fulfill some or all their duties from an off-site location, the Member Services Associate responsibilities require them to be physically present in our headquarters a minimum of three days a week in Mahwah, NJ.

Based in Mahwah, New Jersey, this is a full-time position beginning immediately.

Compensation

The hourly rate is between $20 to $23 per hour depending on experience. The Trail Conference proudly provides a full range of benefits including employer subsidized health care, matching 403(b) benefits after 6 months of service and sick pay accrued at .75 days per full month worked for a total of 9 days per year. Paid Time Off is accrued at 1.5 days per month. Benefits include complimentary membership and twelve paid holidays.
